1. Prerequisites Before you begin, make sure you have the following: • Your full email address (e.g., yourname@yourdomain.com) provided by XTREEM CLOUD • Your email account password • Microsoft Outlook installed (2013, 2016, 2019, 2021, or Microsoft 365) • A stable internet connection • Your domain’s incoming/outgoing server details (provided by your administrator or on the XTREEM CLOUD client panel) support@xtreemcloud.com | www.itwaybd.com

1. Understanding IMAP vs. POP3 XTREEM CLOUD supports both IMAP and POP3 protocols. Choose the one that best fits your needs: Feature IMAP (Recommended) POP3 Sync Emails sync across all devices Delete Emails stored locally only Deleting on one device deletes on all Backup Deleting is local only Emails stay on server Best For Emails removed from server Multiple devices (phone + PC) Single device / offline use Recommendation: Use IMAP for the best experience across multiple devices.

2. XTREEM CLOUD Server Settings Use the following server settings for your email configuration: Protocol Server Port IMAP (Incoming) mail.yourdomain.com 993 Encryption POP3 (Incoming) SSL/TLS mail.yourdomain.com 995 SMTP (Outgoing) SSL/TLS mail.yourdomain.com 465 SMTP (Outgoing) SSL/TLS mail.yourdomain.com 587 STARTTLS Note: Replace mail.yourdomain.com with your actual domain (e.g., mail.mycompany.com). Your administrator will provide this.

3. Automatic Email Account Setup Try this method first — Outlook will attempt to detect your server settings automatically. 1. Open Microsoft Outlook on your computer. 2. Click the File menu in the top-left corner. 3. Select Add Account. 4. Enter your full email address (e.g., yourname@yourdomain.com) and click Connect. 5. Enter your email password when prompted and click Sign in. 6. If successful, Outlook will download your emails automatically. Click Done. Tip: If automatic setup fails or shows an error, proceed to Section 5 for manual setup.

4. Manual Setup — IMAP (Recommended) Follow these steps if automatic setup did not work, or if your administrator asks you to configure manually. Step 1: Open Account Settings 1. Open Outlook and click File in the top menu. 2. Go to Account Settings > Account Settings. 3. In the Account Settings window, click New. Step 2: Choose Manual Setup 1. Select Manual setup or additional server types and click Next. 2. Choose POP or IMAP and click Next. Step 3: Fill in Account Information Field Value to Enter Your Name Your full name (shown to recipients) Email Address yourname@yourdomain.com Account Type IMAP Incoming Mail Server mail.yourdomain.com Outgoing Mail Server (SMTP) mail.yourdomain.com Username yourname@yourdomain.com Password Your email account password Step 4: Configure Port Settings 1. Click More Settings in the setup window. 2. Go to the Outgoing Server tab and check My outgoing server (SMTP) requires authentication. 3. Select Use same settings as my incoming mail server. 4. 5. Manual Setup — POP3 Follow these steps only if your administrator specifically requires POP3. 1. Follow Steps 1–2 from Section 5 above. 2. In the Account Type field, select POP3. 3. Enter the same server information as Section 5, but use port 995 for incoming mail (POP3) with SSL/TLS. 4. In the Advanced tab, for Incoming server (POP3), enter Port: 995, Encryption: SSL/TLS. 5. For Outgoing server (SMTP), use Port: 465 (SSL/TLS) or Port: 587 (STARTTLS).

6. Check Leave a copy of messages on the server if you want emails kept on the server. Click OK, then Next, and then Done.
